The Little Things That Win Big: How Process Builds Confidence in Donor Conversations
“It’s the little details that are vital. Little things make big things happen.” — John Wooden
“Do the little things right to reach the big goals.” — Tom Izzo
March Madness reminds us that winning doesn’t come down to one big play. It’s the fundamentals, executed consistently, that make the difference. At Inbloom, we see the same truth play out in nonprofit development work every day.
Organizations often engage consultants to lead major campaigns or build bold strategies. But some of the most meaningful transformations happen in quieter, less visible areas—the processes that support everything else.
When the “Little Things” Start Holding Teams Back
In our recent work with a large nonprofit organization in Greater Cleveland, we were brought in to support broader fundraising efforts. As we embedded ourselves in a fractional development role, something else became clear.
A foundational donor research and preparation process that should have been routine, had become a consistent point of friction. It wasn’t just inefficient. It was impacting confidence, collaboration, and the effectiveness of donor engagement.
Senior leadership and board members were walking into major gift conversations without the preparation they needed. Support staff were managing last-minute requests. Development staff understood what was required, but the process to get there wasn’t aligned. Everyone shared the same goal, but the path forward was unclear and creating unnecessary tension.
The Inbloom Approach: Listen, Align, Build
This wasn’t a problem that could be solved with a slide deck or a prescribed best practice. Instead, we worked alongside the team to build a solution that was both practical and sustainable.
We started by listening across all levels of the organization to understand the real challenges behind the process. From there, we created shared clarity around what strong donor preparation looks like and how each role contributes. Together, we built a streamlined system with standardized formats and workflows that created consistency while respecting individual strengths.
Because we were embedded in the work, we were able to build trust, adapt in real time, and ensure the process was fully adopted.
The Impact: Confidence, Collaboration, and Results
What began as a small operational challenge quickly became a catalyst for broader impact. Leadership entered donor meetings with greater confidence and clarity. Support staff experienced reduced stress and more predictable workflows. Development teams felt their expertise was better utilized, and collaboration improved across the organization.
As the CEO’s assistant stated, “I know that kind of shift does not happen by accident. The processes you put in place are clearly working, and they have made a real difference in how prepared and confident [our CEO] can be walking into donor conversations. I am genuinely grateful for your follow-through and your partnership in making this better.
It’s easy to focus on the big wins in fundraising. But those outcomes are built on something deeper systems that work, teams that are aligned, and processes that create confidence instead of friction.
At Inbloom, we believe that when you get the little things right, you unlock the full potential of your people and your mission.
Congratulations to the UCLA Bruins on their dominating women’s championship victory and the Michigan Wolverines on their win to cap off March Madness!
